UNKNOWN SCANS

UNKNOWN SCANS

OVERVIEW

By default, any scans that don't match a consignment in your account appear on the Unknown Scans page.

To access: Go to Reports > Administration > Unknown Scans

Why scans don't match

There are two main reasons a scan won't match to a consignment:

  1. The consignment doesn't exist yet in your account
  2. The barcode format doesn't match what the system expects—you may need to set up a new Barcode Format for this customer (Barcode Setup help)

STEP-BY-STEP INSTRUCTIONS

The Unknown Scans page stores unmatched scans so the system can periodically check for matches. When a new Barcode Format is added or consignment data becomes available, the system automatically moves matched scans to the relevant consignment.

Note: This page displays any type of scan that has failed to match a consignment.

Understanding the grid

When you arrive at the Unknown Scans page, you'll see a list of unmatched scans with columns showing information about each scan.

Customizing columns

You can add or remove columns using the Column Selector:

To add columns:

  1. Click the Column Selector icon
  2. Click in the box at the bottom of the popup
  3. Select from the available columns

To remove columns:

  1. Click the Column Selector icon
  2. Click the X icon next to any column you want to remove

To reorder columns:

Click and hold a column, then drag it to rearrange the left-to-right order in your grid.

Applying settings to other users

If needed, you can apply your column configuration to agent, customer, or staff users using the toggle buttons.

WarningImportant: Test these settings thoroughly to ensure results match your expectations.

Saving changes

After adding/removing columns or updating user settings, click Update to save your changes.

Change the date range

Use the date selector to view Unknown Scans from a specific time period.

Note: Results are based on the scanned date/time. For example, if a scan was performed on the 22nd, it will only appear if your date range includes the 22nd.

Export results

To export the grid data:

  1. Click the Export button at the bottom-left of the page
  2. Select Excel or CSV format

RE-TRIGGERING UNKNOWN SCANS

Automatic checking

Transvirtual automatically checks your Unknown Scans at regular intervals to find matches. However, as scans age, the system checks less frequently.

Manual re-trigger

If you've recently added a new Barcode Format rule or consignment data, you can manually check for matches:

1. Select scans to re-trigger

Check the boxes next to the scans you want to re-check.

2. Start the re-trigger process

Click the Menu icon at the top of the screen.

3. Wait for processing

A popup will appear asking you to wait while the system checks these scans against consignments in your account.

4. Review results

If new matches are found, the scans will be removed from this page and attached to the relevant consignments.

IMPORTANT

Timestamp preservation: When an Unknown Scan matches to a consignment, it retains its original scan timestamp. For example, if a scan was performed on the 22nd at 10:17am, it will attach to the consignment with that time—not the time it was matched.
Old scans: For particularly old scans, you'll need to manually re-trigger a check once consignment data exists or a new Barcode Format rule has been implemented, as the system eventually stops checking old scans automatically.
