Tracking Notifications (Email/SMS)

Transvirtual supports automated notifications triggered by consignment status changes. This article explains what's possible so you can define your requirements for implementation.


What Are Tracking Notifications?

Tracking notifications are automated messages sent to your users when a consignment reaches a defined milestone. Notifications can be sent via email or SMS and can be configured to trigger at different points in the transport journey.


What's Possible

Common milestones include but are not limited to: 

On Delivery Notifications An automated message sent when a consignment is loaded onboard for delivery. This gives customers advance notice that their freight is on the way and delivery is imminent.

Delivered Notifications An automated message sent when a consignment is marked as delivered. This confirms to the customer that their freight has arrived.

Proof of Delivery (POD) Notifications An automated message sent upon delivery completion that includes POD images and signatures. This gives customers a record of the delivery without needing to request it manually.

All consignment status can be used as triggers for notifications

Delivery Methods

Notifications can be sent via email or SMS.

  • Email is included as standard
  • SMS each notification incurs a per-SMS cost and requires available SMS funds in your account 

Notifications can be sent to a predefined list of recipients, or dynamically routed to the customer, sender, or receiver contacts associated with each consignment. 


Requirements to Implement

To set up your notification rules, your project manager will need the following information. Please complete this for each notification type you'd like configured.


For each notification rule:

  1. Which notifications do you want? List the milestones you require: e.g. On Delivery, Delivered etc
  1. Delivery method Email or SMS — or both
  1. Recipients Should notifications go to a defined email address independent of the consignment (e.g. a shared inbox), or dynamically to the customer/sender/receivier contact on each consignment
  1. Email content What should the subject line and body of the email say? 
  1. POD notifications only Should POD images and signatures be attached, or the delivery confirmation message only?
  1. Any exclusions or conditions Should any customer accounts, consignment types, or routes be excluded from notifications?


Once you've reviewed the options above, share your answers with your onboarding Project Manager and they'll handle the configuration in Transvirtual.
