Steps to create a consignment
On the Transvirtual homepage, click Create Consignments in the Quick Links window: Or navigate to Transport > Operational Tasks > Consignments:
On the Consignment page, click Create New:
Select the customer from the dropdown, then enter Sender and Receiver information: Note:Suburb, Name, and Postcode in both the Sender and Receiver sections, and all Consignment Items fields, are mandatory.
Enter item details in the Consignment Items section at the bottom of the page.
On the right side of the screen, add details under Dangerous Goods and Delivery Details, Equipment Counts, Customer Price, and print options as needed:
Click Save to create the consignment:
Consignment items
Consignment items can be set up to allow customers to enter any details they would like for each item.
Once established in Transvirtual using rate cards, you can present suggested names for descriptions and enforce which fields are required to save a consignment. This is handled via Consignment Creation Rules. Note: To find Consignment Creation Rules, navigate to Configuration > General > Global Setup, then click the Consignment Creation Rules tab.
To add extra fields to the consignment filter screen, use the Column Selector and click Update: Note: Add or remove columns in the Column Selected field as shown above.
After clicking Update, the selected column appears in the Consignment Items field.
Important: Extra fields do not appear on labels or the consignment note PDF by default. Contact the support team at support@transvirtual.com to have them added to your report templates.
Other information
Use the fields in this section to add extra information to the consignment.
Dangerous Goods — Assign one or more dangerous goods classifications. Click Select and choose the applicable items. See Dangerous Goods for more information.
Service Level — Assign the service type for this consignment. Leave blank for the default service level. See Service Levels for setup information.
Ref Other — Enter any other references to be associated with the consignment.
Ref Other 2 — Enter any additional references.
Pickup Required — Toggle to Yes to enable pickup. When set to Yes, the following fields become available:
Pickup Special Instructions — Instructions for the driver about the pickup.
Ready Date/Time — The date and time the pickup can be performed.
Booking Note — Any extra information relevant to the delivery.
Close Time — The cutoff time for pickup.
Delivery details
Use the Delivery Details section to enter delivery-specific information.
Special Instructions — Instructions for the driver about the delivery.
Booking Time — The date and time the delivery can be made.
Booking Note — Any extra information relevant to the delivery.
Close Time — The cutoff time for delivery.
Point to Point — Set to Yes to require the driver to complete both pickup and delivery without returning to the depot.
Manually enter the count for each equipment type. Equipment types are customisable for each business.
Equipment counts can be made mandatory for freight items associated with your equipment.
Enter the equipment count in the related field.
See Equipment Types for information on adding or editing equipment.
Equipment if Linked to Freight toggle: When enabled, you must specify the equipment type for each freight item during consignment creation. Leaving the equipment count empty prevents the consignment from being saved. To find this toggle, navigate to Configuration > General > Global Setup, click the Consignment Related Rules tab, then go to the Field Required section. See Global Setup: Consignment Related Rules for more information.
Customer price
The Customer Price section shows an estimated price for the consignment.
In the Customer Price section, click Calc Price Estimate. The estimated price displays below:
Important: Pricing is only available when a rate card is configured for the customer.
Print options
The Print Options section allows you to automatically print consignment notes and labels when you save a consignment.
There are two toggle buttons: Print Consignment and Print Labels.
Enable Print Consignment to automatically print consignment notes to a local printer after saving.
Enable Print Labels to automatically print labels to a local printer after saving.
Note: With the browser print client installed, these print automatically. Otherwise they appear as pop-up printable windows.
Upload miscellaneous files
Scroll to the bottom of the consignment creation page to find the Upload Miscellaneous section.
Upload a file by clicking the Upload icon and selecting the file, or drag and drop a file into the designated area. Accepted formats: PDF or image files.
If the Upload Miscellaneous tab is not visible during consignment creation, ensure the Allow Upload of File in Consignment Creation toggle is set to Yes in global settings: To find this toggle, go to Configuration > General > Global Setup, click the Consignment Related Rules tab, then find the Other section. Note: Allow Upload of Files in Consignment is the toggle for uploading files after consignment creation.
To upload a file after a consignment has been created, go to Transport > Operational Tasks > Consignments, double-click the consignment, then click the POD & Files tab and drag and drop or select the file:
Once uploaded, the file appears in the POD/Files tab. Images are shown in preview. You can view, download, or remove files.
To download or remove a file, click Download or Remove.
Important: Transvirtual is not a file storage or document management system. File uploads must relate specifically to the pickup or delivery of the consignment. Upload limits are governed by the fair use policy. Contact the support team to discuss additional storage needs and applicable rates.
