SUMMARY / PURPOSE
Use this article to learn how to use the Planning Dashboard to schedule consignments and jobs into loads and assign drivers and vehicles for those loads.
NOTE: A load is a collection of consignments assigned to a specific driver and vehicle
OVERVIEW
The Planning Dashboard allows you to:
- View driver and vehicle availability for the day, week or month
- Create and manage loads
- Assign consignments to loads
- Release loads to drivers or agents
The planning dashboard consists of two sections i.e., Planning and Consignment, by default, the Planning screen will display as shown below.
Planning Tab (Calendar View)
The Planning tab shows driver and vehicle availability by day.
Filter the view:
- Select a time period: Daily, Weekly, or Monthly
Apply additional filters:
- Headport
- Timing
- Availability status
- Click Reset to clear all filters
Create a load from this view:
- Click Create Load (see Create Load section below)
Consignment Tab
The Consignment tab displays:
- Consignment list (left side): Shows consignments with basic details
- Load list (right side): Shows loads with departure date, weight, cubic, and vehicle details
Available actions:
- Create, edit, delete, assign, and release loads
- Filter consignments and loads separately
Consignment Filters
On planning dashboard, at the top of the page you can see the consignment filter which is generally used to filter the consignments as shown above.
Consignment List
On planning dashboard, you can see the list of consignments below the consignment filters where you can see the basic details of consignment like consign number, booking date, sender/receiver name, quantity etc.
Load Filter
You can see the Load Filter on right side of the planning dashboard. These filters used to filter the load list.
Load List
You can see the list of loads below the load filters, here you can see the basic details of loads such as Departure Date, Weight, Cubic, Vehicles etc.
STEP-BY-STEP INSTRUCTIONS
Create Load
- Click Create Load
- A pop-up appears. Complete the following fields:
Mandatory fields:
- Load Name
- Load Reference Number
- Vehicle
- Driver/Agent
Optional fields:
- Departure Location
- Destination Location
- Trailer 1/2
- Departure Date
- Arrival Date
- Skill Required
IMPORTANT: Vehicle and Trailer cannot be the same. The system will reject the load if they match.

3. Click Create button to add a new load, once new load has been added, the load will display on the right side of the screen as shown below:
Template
In Transvirtual, users can conveniently save any load details as a template for future use. This feature streamlines workflow by allowing individuals to store commonly used configurations, such as Load Name, Load Ref Number, Location, Vehicle etc., for easy retrieval. Whether it's recurring shipments or unique load specifications, this functionality ensures efficiency and consistency.
1. To save the load details as a template, first fill the details as described in the above paragraph and then click on the Save as Template button and if you wish to create load then click on Create button as shown below:
2. The load detail will save, and you can use it this template further (If required).
3. To view the saved template when creating a load, click on the Load from Template button, a pop-up Choose Template will appear as shown below:
4. If you wish to select any template, click on Select button next to the relevant template, the selected detail will auto-fill in the load page as shown below:
5. If required, then you can update the detail or else click on Create button to create a load.
To Delete any Template
1. To delete any saved template, click on the delete button, the template will be deleted from the database.
Assigning Consignment to Load
1. Select one or more consignments using the checkboxes
2. Click Assign to Load (the button activates after selecting consignments)
3. Click Pop-out for details
4. The Detailed Load Consignment View opens
5. Click Optimise Route
6. Select a departure time in the confirmation pop-up
7. Click Continue
NOTE: Once the Unlock button appears, you cannot edit the load details but if you wish to edit the details further then first click on Unlock button, a Confirm Load Unlock popup will display, here manually enter the Load Reference and then click on Submit button, the load will unlock and then you can further update the load details, as shown below.
