Planning Dashboard

The dashboard is a customisable overview of your operations, it gives an overview of your account activity.
1. On Planning dashboard, you can create/assign/release the load as well as you can edit/delete a load also. To see the planning dashboard, navigate to Transport > Operational Task > Planning Dashboard, the planning dashboard screen will come as shown below.


The planning dashboard consist of two sections i.e., Planning and Consignment, by default, the Planning screen will display as shown below.

Planning 

The Planning screen, often referred to as the Calendar view, provides a comprehensive overview of the availability of drivers and vehicles for each day. This functionality allows you to effectively monitor and manage workloads without being tied to specific drivers or vehicles. You can easily filter the displayed information by selecting options for daily, weekly, or monthly. Furthermore, the screen includes additional filtering options, allowing you to specify criteria such as the relevant headport, timing, and overall availability. This ensures that you can quickly locate the resources you need for any given timeframe. If you wish to create a new load based on the available resources, you can do so seamlessly by clicking the Create Load button.

1. You can filer the planning page, refer below screenshot to know how to do the filter.

2. If you wish to Reset the filters, then click on Reset button located at bottom of the page.
3. If you wish to create the load, click on Create Load button. To know more how to create the Load, refer Load paragraph of this article.

Consignment

The Consignment section displays a list of consignments along with load details. From this screen, you can create, edit, delete, assign, and release loads. You can filter the consignment list via consignment filter or can filter the load sections via load filter. This consignment screen consists of the following major components as shown below.


Consignment Filters
On planning dashboard, at the top of the page you can see the consignment filter which is generally used to filter the consignments as shown above.

Consignment List
On planning dashboard, you can see the list of consignments below the consignment filters where you can see the basic details of consignment like consign number, booking date, sender/receiver name, quantity etc.

Load Filter 
You can see the Load Filter on right side of the planning dashboard. These filters used to filter the load list.

Load List 
You can see the list of loads below the load filters, here you can see the basic details of loads such as Departure Date, Weight, Cubic, Vehicles etc.

Create Load

1. To create a load, on planning dashboard screen, click on Create Load Button, a pop up for Create a new load will display as shown below.



2. Now fill the details as describe below:
      a. Load Name
      b. Load Reference Number
      c. Departure Location
      d. Destination Location
      e. Vehicle
      f. Trailer 1/2
      g. Departure Date 
      h. Arrival Date
      i. Driver/Agent
      j. Skill Required

Load Name, Load Ref Number, Vehicle and Driver/Agent field are the mandatory field when create a new load.
Make sure that Vehicle and Trailer will not be same otherwise you cannot add a new load in the database.

3. After Step 2, click on Create button to add a new load, once new load has been added, the load will display on the right side of the screen as shown below.

Template

In Transvirtual, users can conveniently save any load details as a template for future use. This feature streamlines workflow by allowing individuals to store commonly used configurations, such as Load Name, Load Ref Number, Location, Vehicle etc., for easy retrieval. Whether it's recurring shipments or unique load specifications, this functionality ensures efficiency and consistency.
1. To save the load details as a template, first fill the details as described in the above paragraph and then click on the Save as Template button and if you wish to create load then click on Create button as shown below.

2. The load detail will save, and you can use it this template further (If required).
3. To view the saved template when creating a load, click on the Load from Template button, a pop-up Choose Template will appear as shown below.
 
4. If you wish to select any template, click on Select button next to the relevant template, the selected detail will auto-fill in the load page as shown below.

5. If required, then you can update the detail or else click on Create button to create a load.

To Delete any Template

1. To delete any saved template, click on the delete button, the template will be deleted from the database.

Assigning Consignment to Load 

1. To assign consignment(s) to load, first select the applicable consignment with the help of checkbox(es) and then click on the Assign to Load button as shown below.


The Assign to Load button will enable once you select the consignment.
2. Once you click on the Assign to Load button, a confirmation pop-up will display, here click on Assign button, the load will be assigned as shown below.
 
3. If needed, then you can edit the detail after consignment assign to load as shown below.


Sort Route/Route Optimisation

This feature helps to find-out the shortest driving distance between all locations for the loaded consignments and re-route it accordingly.
1. To do the auto route/sort route, on load page click on the expand link, all the consignment(s) link to that load will display as shown below.


2. Below the list of consignments, click on the pop-out for details hyperlink, a pop-up detailed load consignment view will display as shown above.
3. On Detailed Load Consignment View page, you can either manually change the consignment order by drag and drop up or bottom position or click on Route Optimisation button, a confirmation pop-up will display, here manually select the depart time and then click on continue button, all the consignments present in load page will be reordered according to the distance.

When you manually drag and drop the consignment, a new button will be enable known as Save Order as shown below.
 
- Once you manually sort the consignment order click on Save Order button to save the re-ordering.  

To Edit/Delete the Load

1. You can edit the load before or after the load assignment, to edit the load first click on Edit button as shown above, a pop-up to Edit your load will display as shown below.
                                                                                                            
2. Now, update the applicable field as per your requirement and then click on Save button to update the changes.
3. If you wish to delete the Load, on load list, first select the applicable load and then click on Delete button, the load will be deleted from the database automatically as shown below.

Make sure that you delete the load until you did not assign consignment(s) to a Load, once you assign the consignment to Load the delete button will disappear as shown below.

Release To Driver/Agent 

1. Once you assign the consignment to load, next step is releasing the load to the driver, to do it first click on Closed toggle button in Yes position the Release to Driver button will be enabled as shown below.

   
At the time of load creation, if you select Agent instead of Driver then Release To Driver becomes Release To Agent.
Once you closed the Load, you can see the Edit button will be disabled and Assigned to Load button will be disappear, that means you cannot edit anything in this load now but if you want to update any detail then open this load by clicking on Closed toggle button in No position, the Release To Driver button will be disable and Edit and Assign to Load button will be Enabled. 
 

2. Now, click on Release To Driver button, a confirmation pop-up for load release will appear, here click on Ok button to release the load to the driver as shown below.

                    
3. Now, the load will be released and Unlock button will appear on load screen as shown below.
 
Once Unlock button appear then you cannot edit the load details but if you wish to edit the details further then first click on Unlock button, a Confirm Load Unlock popup will display, here manually enter the Load Reference and then click on Submit button, the load will unlock and then you can further update the load details, as shown below. 
  
4. Once you complete the load release process then load will reflect in the driver or agent mobile device. To know more how to go ahead with this load click here.

Filter 

On planning dashboard screen, there are two types of filters as describe below.

Load Filter

1. If you wish to filter the load list, then select any filter i.e. Departure Date, Departure Location and Destination Location, the filter load list will appear on screen as shown below.

 
You can use all or any of the filter(s) as per your requirement.

Consignment Filter

1. The consignment filter used to filter the consignment list, to do so, on planning dashboard, use any of the filter i.e., Add Date, Included Allocated, Pickup and Delivery, as shown below.
a. Use the toggle button for Include Allocated, Pickup and Delivery to filter the consignment list and calendar for Add Date filter.
b. You can use all or any of the filter(s) as per your requirement.
