Creating a Runsheet

Creating a Runsheet

This article describes how to create a Runsheet using the Web Portal.

Step-by-step guide

  1. Open the Create Runsheet by going to Home > Runsheets > Create Runsheet

  1. You will be presented with a page like follows:

  1. Select the source an Employee or Agent, then click the appropriate assignee:

  2. Select the appropriate Employee or Agent from the drop list and this field will look like the below once done:

In the above we are assigning to Andre who is an employee.

  3. Enter the Consignment Number you wish to assign and click on the add button  :

Once you click add you will notice that the consignment then appears in the table indicating it is now assigned to the selected agent or employee and is part of this Runsheet:

Continue this process until all applicable consignments have been assigned and the Runsheet is complete.

  4. Once all of the consignments have been added, you can click and hold a consignment to drive it around to place them in an order within the consignment list.
The Sort column indicates the order they are in and thus what order the assigned user should do the run:

Drag and drop to re-order the consignments:

You can see that consignments in the above images have moved places and the sort order has changed accordingly.

  5. Click on the   button to create the shortest route possible between all the consignments.
Only do this once the Runsheet has had all consignments added.
When clicked, you will see the below appear:

Select an approximate departure time that the assigned agent or employee will start this run.
Click the continue button and you will be presented with a map outlining the shortest route for your order of consignments.

It is important to note that you MUST have accurate address details for his function to work as expected.
Click here for more information on how this can done in a similar method using the mobile device.

  6. Click on the  button to release the run sheet.
Ensure that this is only done once the Runsheet is complete.

Consignments added to a Runsheet via this page will appear in real time on the selected employee's device if assigning to an employee; as they are being added they will go to that user's device in the LOAD page.
Once the Runsheet has been released, these jobs will automatically move from the LOAD page across to the DELIVERY page without the user needing to do anything.

Extra Information

Once a consignment has been added to a Runsheet and thus is assigned to the selected employee or agent, it CANNOT be removed from the Runsheet you are creating unless you open that specific consignment up and re-assign it to another agent or user. This typically should not be an issue as the Runsheet create page is to be used when you know the correct agent or employee ahead of time.

Any point to point jobs that are added to a Runsheet via this page will display BOTH legs of the consignment; you may see that a consignment appears twice. If so, this will likely be because it is a point to point job that contains both a pickup and delivery component. Having both legs display allows you to arrange each leg separately in an order that makes logical sense and is achievable by an employee or agent.
The Is Pickup column can be used to differentiate between the pickup leg and delivery leg:

In the above image, both lines are for the same consignment; the top line is the pickup leg and the second line is the delivery leg - this indicates that this is a point to point type consignment.

Assigning a pickup or point to point job to an employee via the Pickup Allocation screen does NOT add the consignment to a Runsheet in the same way that using the Runsheet create page does.
