Search Consignments

Search Consignments Filter

The search consignment screen has a few hidden tricks that will assist in manipulating bulk consignments to suit specific requirements.
To get to the correct screen go to Home > Consignment Actions > Search Consignments.


Users using the updated 2022 menu should go to Transport > Operational Tasks > Consignments

Filtering With the Correct Columns

You can select the filter columns to use by clicking on the .
This will give you a pop up page that provides you with multiple options, this is known as your column selector (also available in most filter screens).



You can use this section to set default columns for any group type of users in TransVirtual.
You can set these defaults and then remove the button for certain permission groups if you don't want the columns changed, see the link for the security mode tutorial.

Using the Filters Effectively

Now that you have the correct columns laid out you can filter based on premises you require.
Remember to take into consideration the Date Filter in the top right corner.
There are some tricks when filtering, you can use percentage to filter by parts of text, for example:



The "%cash%" actually reads as "Contains Cash", so you are filtering to look for Customer names containing "cash".
You can also use these percentage symbols at either the start or end of a word, so "%cash" would be "ends in cash" and "cash%" would be "starts with cash".
These symbols can be null at points in some filters so do not rely on these as a definitive filter.
Another usage of symbol filtering is the "!", this will search for anything not containing certain data.
 
As you can see, the filter now only shows customers that do no include "cash" in the name.

Bulk Actions Tool


The bulk actions tool is an effective way to manipulate multiple consignments on a larger scale.
To access this feature you will need to have more than one consignment selected on the screen, this can be done by selecting the check boxes on the left or selecting the "Select All" button.
Once this is done, you will have the bulk actions button available for selection.

All of these features are available if the appropriate background associated data is readily available.

To bulk search you will use the  button.
This will then display a pop up to enter in the consignments you wish to search.
Ensure you enter them in a list format as displayed below:


This will allow you to bring up a list of consignments you wish to see in your list, the list will only display these consignments.

Prefixed Filter

There is the ability within TransVirtual to create a prefixed or saved search filter that allows you to perform searches in the consignment search page, without the need to re-enter search values each time.
For example, there might be something you wish to search for often such as data for a particular customer name and sender reference - you want to return consignment results matching this criteria.
These prefixed or saved search queries come in handy when the searches you are performing are done on a regular basis.

To create a prefixed/saved search filter (or query) click on filter button - this is located on the main page of the consignment search screen (near the top above the results grid).

Clicking on this button will present you with a pop-up window such as the below:



This is where you need to create you query - this is the criteria used for the search.
Begin by naming the query using the top bar - it is advisable to make the name something that reflects what the search query does.
An example might be where you wish to search for a particular customer and only see consignments for that customer where the sender reference is specified text or contains specified text.
If this were the case, your filter name could be something like the below:


Once you have entered the name of your filter, you then need to add logic or criteria for what will be involved in the search - what the search parameters are; how the system will search for and return results etc.
Following on with this example, the first step would be to use the data filter builder at the bottom of this window - we need to add in the customer name and make it part of the search query.
Use the field Customer Name from step 1 and then click Next:


In step 2 select Equal then click Next:

In step 3 type and enter appropriate customer name, then click Add Rule. You will then see that the data filter now has logic/text in it:

Our example also calls for criteria related to Sender Reference - we are wanting to only see consignments where the sender reference contains 'Rich 1".
Repeat the same process as above again using the data filter builder at the bottom of the window.
This time however, step 1 will be Senders Ref, then click Next. Step 2 will be Contains, then click Next. Step 3 will be to enter the text required (Rich 1) and then click Add Rule.
This will then add more logic/text to the data filter like so:

This example filter is now ready to go - it is currently setup to return consignment results where the customer listed is Rich Industries and the sender reference contains Rich 1.
From here it is advisable to use the Validate button at the bottom to ensure the logic is sound - no errors:



This Validate button will also usually show you how may consignments match your query - green is good, like so:

The next step is to click the Show Results button at the bottom - this saves the search filter:

This filter is now usable at any time.
To do so, click on the below:

Ensure you select Saved Filters - the Temporary ones are simply filters that have not been saved/named etc.

After this, click on the below drop-down arrow and click on the filter you have just created:

As soon as you click on the filter the system then uses the criteria from the selected filter to search for and return consignment results matching your specified search criteria, like so:

In the above the search filter has returned only 1 consignment result as there must only be one consignment in this account where the customer is Rich Industries and the sender reference contains Rich 1.
Keep in mind that the data range selected top-right is also factored in when using the search filters - anything outside of your data range that matches your search criteria will not be returned/displayed in your results.
If you are expecting more results than you see, the likely cause will be that the selected date-range top-right of the page needs to be expanded/increased.
In addition to setting a search filter up for yourself, you have the ability to make your search filter available to all users in your TransVirtual account.
To do this first ensure you have the filter selected from the list of filters, then click on the Filter button:

The below will appear:

Simply check the SharedQuery button at the top then click Show Results at the bottom to save.
This now means that this particular search query will be available to other users in your account and they can utilize to search in the same manner as the above process.

This is only a simple example, filters can be very complex and can vary quite a lot in how they are created.
Ensure to check and test all setups!

Exporting Data

Exporting data from this page can be simply completed from the  in the bottom left hand corner.
You can export a CSV, Excel 2007 or a Excel file from this section.
Please also keep in mind this will only export that single page, if you require to export 100 consignments using this method, you will need to ensure your result line count is set to 100+ in the bulk actions tool.
