Scan Types

Overview

Freight scan types are the different scans that can be applied to a consignment. Scans provide visibility of where a consignment is in its journey. For example, when a Depot In scan is done, anyone with access to the consignment (you, your staff, or the customer) can see the time, date, and location of the scan.

Scanning keeps everyone informed on a consignment's progress and reduces phone calls and emails asking for updates, since customers can view their own consignments through their customer login. This article explains the scan types, what they are used for, and the changes you can make.

Page URL

Navigate to Configuration > Lists and Zones > Freight Scan Types. The freight scan overrides page displays.

The scan list is on the left of the page. Click a scan to display its details on the right.

  • Scans with names that do not start with Reserved are system default scans.
  • You cannot create new scan types. The scans listed cover any scanning task required.

Field Descriptions

Field
Description
Freight Scan Name
The name of the scan type in the database. This field cannot be changed.
Your Name
The display name of this scan in your account. For example, you might rename On Delivery to On Board. The scan then displays as On Board in the portal and on driver devices. Renaming does not change how the scan works; it only changes the display text.
Public Name
The display name of the scan on the public tracking pages (linked at the bottom of the consignment details tab) and on any website widgets in use, such as a tracking widget.
Other Names (AKA)
Other known names for this scan type, used for import data. For example, Delivery might also be known as Del or Delivered. Separate multiple values with a comma.
Forced Scan Tags
Scan tags that must be applied with the scan type they are listed against. Linehaul Out scans commonly use forced scan tags because they form part of auto-assignment rules. This is optional, but once set, you cannot perform that scan type without selecting one of these scan tag options.
Hide From 3rd Parties
If enabled, the scan type is hidden from any public, customer, or agent user. This setting does not affect EDI setups.
Bulk Activities - Hide from Staff
If enabled, staff users cannot see this scan. Use with caution and test any changes.
Bulk Activities - Hide from Customers
If enabled, customer login users cannot see this scan. Use with caution and test any changes.
Bulk Activities - Hide from Agents
If enabled, agent login users cannot see this scan. Use with caution and test any changes.
Active
Use the Yes/No toggle to enable or disable the freight scan.

After updating the fields, click Update to save the changes.

Notes

  • Renaming a scan does not change how it operates.
  • Certain scans change the status of a consignment. For example, a Depot In scan on a newly created consignment changes its status to In Depot, showing web users that the consignment is currently at a depot.
  • Scan tags can also be set up in the Dictionary List; those are not forced. Forced scan tags take precedence over any other scan tags.
