Purchase Orders

Purchase Order is a process, which includes the order details, such as: the types of products, the quantity of each/all product, weight etc. This article helps you to create a PO, edit an existing PO, and update the column selector field.

Create a Purchase Order (PO)

 1. To create a new PO, go to Warehouse > Inbound > Purchase Orders. The PO page will display as shown below.

  
 2. On PO page, you can see the following details.

a.    Order Number

b.    Date

c.    Customer

d.    Status

e.    Shipped Name

f.     Shipped Address

g.    Shipped Suburb

h.   Shipped State

i.     Shipped Post Code

j.     Shipped Email

k.    Shipped Contact

l.     Shipped Phone

m.  Total Quantity Ordered

n.   Total Quantity Processed

o.    Total Weight

Notes
If required, you can update the columns by clicking on the Column Selector (button, add or delete the columns to be displayed in the Order Items and enable/disable access controls. Click on the Update button to save the changes.

3.  On PO home screen, click on the Create New button. The PO creation page will display as shown below.


                                                                          
4. On the PO creation page, manually enter the Order Number (if available), Customer, Supplier (With the help of drop and down button), Date, Supplier Location, Order Information and Order Items in the related column, then click on the Save button.

a.    On Supplier Location tab, fill the required details as follows:

                                         i.    Name

                                        ii.    Address

                                       iii.    Address 2

                                      iv.    Suburb

                                        v.    Email

                                      vi.    Contact Number

                                     vii.    Phone

                                    viii.    Close Time.

               b.    In Order Information tab, fill the details as follows:

                                         i.    Warehouse (With the help of drop and down button)

                                        ii.    Your Reference

                                       iii.    Other Reference

                                      iv.    Special Instructions

                                        v.    Booking Time

                                      vi.    Booking Reference.

Notes
You can select the warehouse when you have multiple warehouses in the database.
                 c. In the Items on Order tab, manually enter the item name and quantity.
                 d. If needed, you can view the list of items by clicking on the Search for Items tab; list of items will come on search for items.

On the PO creation page, Customer, Supplier and on the Supplier Location tab Suburb and Items on Order tab Quantity are the mandatory field when creating a new purchase order.
Notes
a. Once the order items are entered in the first row, automatically the second row gets generated for the user to enter the multiple order items.
b. Delete icon () helps the user to delete a particular row (Order item) within the Order Item(s) list.
5.  After entering all the details, click on the Save button, which will provide a visual confirmation of completion as shown below.
