In TransVirtual there is a page known as the Dictionary List. This list is a place that allows you to create things like scan tags, vehicle types, Customer Service Ticket Responses, simple lists that are used throughout TransVirtual.
1. This article will detail what each list is used for and how to modify the values in a list.
2. To see the Dictionary List go to Configuration >Lists and Zones > Dictionary List, the dictionary list page will display as shown below.
3. Click on any of the list, the values of that list will appear on the right side of the screen as shown below. To create new tags simply click a list on the left and then click the blue Add button top-right to add a value to that list.
To Add New Value
1. To add a new value for any tag, first click on the applicable tag, the tag value will display on the right side of the screen as shown above.
2. Now, click on Add button, Add a new value to the dictionary popup will display as shown below.
3. Manually enter the Dictionary Value and then click on Add button, the value will be added in the database as shown below.
To Delete the Value
1. If you want to delete the existing tag value, simply click on the delete icon, a confirm dialog will pop-up, click on Yes button, the tag value will be deleted from database as shown below.
1. CardFile Comment Tags: This list can be used to create tags that can be applied to the notes tab of a vehicle, customer or agent card. When entering one of these card types you have the ability to add a user note and add a tag to it. Setting up tags here will mean that they are available and selectable for that comment if needed.
2. Consignment Comment Tags: This list is used to create tags that can apply to a user comment added to the communication tab of a consignment.
3. Consignment Row Extra Fields: This list is used to "re-name" the Extra 1 and Extra 2 fields available from the consignment creation Consignment items section; use the column selector to add in these fields if needed. The values you add here will be what these two fields display as going forward. Keep in mind that these are simply text fields and changing the name does not change the way these fields operate fundamentally.
4. Customer Enquire Groups: A list of the different types of customer enquiry groups that may handle customer questions etc. Some examples of this could be operations, customer service, accounts, etc. The values from this list can be used when creating customer service tickets for example.
5. Customer Industry Types: A list used to classify the different types of customers you may have.
6. Customer Service Ticket Responses: A list of preset responses that can be used when replying to Customer Service tickets.
7. Delivery Types to hide on Mobile: A list of Delivery types you wish to hide from the mobile devices. An example might be No Parking-entering this here will exclude that delivery type from the mobile device.
8. Internal Chat Groups: A list of internal staff groups that can be setup to receive chat messages via the web portal/mobile device. This list is used in conjunction with the chat function in the global settings page.
9. Mobile POD Forced Tag - Booking Required: A list of tags that can be added when a delivery is being performed and the delivery type selected is Booking required. An example might be deliveries to Bunnings as they only allow deliveries at certain times. If you arrive outside of the specified times, they may not accept your delivery. In this scenario you would not be able to deliver the freight, so you'd mark as Booking required and add a tag of outside delivery window, for example.
10. Mobile POD Forced Tag - Card Left: A list of tags that can be added when a delivery is performed and is for a Card Left. The tags setup here should be for reasons why a Card may be left, and the delivery has not been successful, person not home, etc.
11. Mobile POD Forced Tag - Closed: A list of tags that apply to a Closed type of delivery. The tags setup should be relevant to a Closed type of delivery; why was the location closed?
12. Mobile POD Forced Tag - Decline Reattempt: A list of tags that can be used when performing a declined reattempt type delivery. This type of delivery is one that has been declined for a reason and another attempt will be made to deliver the freight.
13. Mobile POD Forced Tag - Futile Pickup: A list of tags that can be used when performing a Futile Pickup. The tags listed here should be relevant to this type of pickup type; maybe incorrect address so an example tag could be 'check address'.
14. Mobile POD Forced Tag - Location Drop: A list of tags that can be used when performing a Location Drop. An example might be creating tags that are the names of location drop points such as a Post Office; perhaps freight on a specific run only ever goes to a Post Office where the end receiver comes to collect.
15. Mobile POD Forced Tag - Rejected: A list of tags that can be used when performing a Rejected type of delivery. The tags listed here should be ones that relate to reasons why a delivery may be rejected (freight damaged etc).
16. Mobile POD Forced Tag - Rejected Reassign: A list of tags relevant to a rejected reassign type pickup. This type of pickup is one that has been rejected and another attempt will be made.
17. Mobile POD Forced Tag - Unsafe to Leave: A list of tags relevant to an unsafe to leave type delivery; why was the location unsafe?

Scan Tags: A list of tags that can be applied to scans such as Linehaul Out, Depot In, held, etc. The scan tags listed should be comments or extra information about the scan being done; for example, when doing a Held Scan, you could have a scan tag of 'Bay 1' which will indicate where the freight is being held in your depot.
19. Vehicle Comment Tags: A list of tags that apply that can be used when adding comments to a vehicle card under the Notes tab.
20. Vehicle Types: A list of vehicle types you may use in your business.
Scan tags can be used to assist with Auto-Assignment and Grouping Consignments for Manifests.

3. Now, click on Add button and follow the steps describe above in To add New Value paragraph.
